Edit submitted reviews; all submitted reviews can now be edited from the Control panel>Reviews page. The setting to enable/disable editing of reviews is located on the Configuration>Workflow>‘Editors can edit submitted reviews’ setting.
A new review state; ‘Closed’ indicates reviews that were ‘In progress’ (unsubmitted) but a new version of the manuscript has been submitted, so the previous review cycle is no longer ‘open’, it is ‘Closed’ for feedback.
Exposed CMS directory tree; for editing website page layouts, organization and display of article pages Flax. Add, edit and/or delete files and click publish to see the results in Flax. Some basic coding skills will be required to use this feature to its full potential.
Create CMS collections; Add a ‘Collection’ and attribute related articles to a collection. A collection can be used to capture publication ‘Issue’ data, for example.
The relationship between an article and a collection is not saved against the object data profile in the database. This feature is designed to display a collection of articles in Flax.
Metadata Manager; access and copy publication metadata into article templates as captured in the Configuration>General information page. Publication metadata can be inserted into PDF and/or CMS templates as required.
Bug fixes;
- Fix special parsing and special format submission form field attributes.
- Fix expired PDF asset urls of files sent to Pagedjs.
- Fix page crashing when session is not found. If the session expires or is not found then the user is redirected to the login page.

Citation parser enhancements; make it easier for Production editors to edit and apply changes to citation data captured in the edit modal. The ‘Original’ citation is now displayed above the ‘Edited’ version - form field changes will now reflect in the ‘Edited’ display, in real-time.
The citation style is now displayed in the modal as applied in the Configuration>Production>‘Select style formatting for citations’ field.
The Configuration page; has been reorganized to improve usability. We have now listed settings within collections;
- ‘General’; instance type and group (brand) identity.
- ‘Workflow’; Dashboard, Manuscripts page, Control panel, Submission, Review page, Task Manager and Reports.
- ‘Production’; Citation parser settings.

Sticky chat; currently, you can expand/collapse chat. However, the state is not retained between sessions or when navigating between pages. We now preserve the state of the chat so that if a user expands/collapses a chat window that state is retained if they navigate away and come back to the page.
Other enhancements;
- Manuscript metadata is now indexed - keyword search will now display results based on data captured in the Submission form.
- Resolved a few more edge cases and improved the conversion of MathType equations for editing in Wax.
- Dashboard name changes; “My Submissions” (no change), “To Review”->‘Review Assignments’ and “Manuscripts I’m Editor of”->‘Editing Queue’.
Bug fixes;
- Fixed an email notification variable (Handlebars.js) data mapping issue.

Semantic Scholar integration; Group Managers can now select servers to import preprints/journals from Configuration>‘Semantic Scholar’ section. A checkbox setting to enable/disable the import of preprints from Semantic Scholar has also been added. This feature is only implemented on the prc
archetype.
Author proofing feedback; has also been refactored. Authors and editors will now access feedback from the Production editor>Feedback page. Permissions have been added to ensure the feedback form is locked when authors are providing feedback, and accessible in a read-only state after a feedback form has been submitted.
New links have been provided to access the Production editor;
- Authors can access the Production editor from the Dashboard>My Submissions>Actions link.
- Editors can access the Production editor from the Dashboard>Manuscripts I’m editor of>>Actions link.
There is also a record kept of all submitted feedback per version. Filter by version to see author feedback per round within the context of a manuscript version.
Other enhancements;
- Flax was updated to improve
robots.txt
. Previously, onlyindex.html
was disallowed. If a draft article page was linked from an external public website, a crawler could follow that link and crawl the entire draft site. In non-draft node, a crawler was disallowed from crawling the listing of articles, which would prevent it from indexing the site. - Update to import DocMaps from the eLife API.
- XSweet flag that turns MathType inserted into Docx into equations accessible in Wax. Please note this is a Beta release. The current solution works most consistently when using output from MathType version 6. We’re working on support for MathType version 7.

CMS article editor; allows modification to the article page CSS and or (njk
) template that is published to the web (Flax).
The editor is accessible from the CMS>Article template page, make code changes are required and click ‘Publish’. There is currently no preview, this will be considered for a future iteration.
Author proofing workflow is now supported. This allows editors the ability to assign an author to participate in a round of author proofing.
The steps that constitute a round of author proofing;
- Editor assigns an author to a round of proofing from the Control panel>Teams page
- Author receives an email notification with a link to the feedback form / alternatively the author can access the feedback form a link on their Dashboard>My submissions
- Author is able to add Comments and ‘Suggested’ (track changes) in the Production editor and can also submit a feedback form
- Editor receives an email notification that author feedback has been submitted
- Editor can access the feedback from the control panel (read only)
Only the most recent author feedback is captured in the feedback form. A record of authors assigned to participate in a round of proofing is captured in the Control panel>Teams page per version.

Group Manager/Admin users can enable/disable Author-proofing workflow from Configuration>Control panel>‘Allow authors to participate in proofreading rounds’. The ‘Author proofing invitation’ and ‘Author proofing submitted’ email notification templates can be edited from the Settings>Emails page.
Form builder overhaul; to improve usability. Form and field settings are now accessible via a pop-up modal. You can also easily select from a list of standard form fields;

Download manuscript metadata as a json
file. Group Managers can select/bulk-select manuscripts from the manuscripts page, click on ‘Action’ to archive or download the selected manuscript/s metadata.
Group Managers can select a status from the Manuscripts page when using the Custom status form field type. Click on the status and see a list of options as per the ‘Custom status’ field in the submission form - so there’s no need to navigate to the Control panel and update the value on the Metadata page (submission form).
Hide publishing content; Group Manager can set Flax to a ‘private/draft mode’ by selecting the checkbox on the CMS>Layout page and clicking ‘Publish’. If this field is checked, then the Flax URL (including the snippet) is displayed - use this link to share your publishing endpoint data privately.

Pagedjs CSS editor has been added to the Production editor. This allows users with access to the Production editor to edit the HTML and CSS templates. These changes will only be reflected in the PDF. User documentation will be provided in the Kotahi User guide shortly.
Create & edit Email notifications Group Managers can create a new template or edit an existing template from the Settings>Email page.
Email body content can be personalised using the Handlebars.js variables framework. We have created a set of variables that map to select metadata content that is either system-generated (e.g. manuscript id) or captured in a form (e.g. manuscript title).
These initial variables allow for the insertion of text and hyperlinks in the body content of an email notification template e.g. Manuscript titles, sender/recipient usernames, manuscript ids etc.
Copy/paste the variable and curly bracket into the body content of your email as desired.

variable to enable/disable carbon copies (CC) has now been deprecated. Group Managers can manually add a CC from the Emails>Email template>CC field - see CHANGES.md
COAR Notify integration Kotahi can receive messages from COAR’s Notify service. Authors can submit a manuscript to a 3rd party server and request a review from a group in Kotahi.
A request results in a manuscript being imported and displayed on the Manuscripts page. Manuscripts imported via COAR Notify are identifiable by the Notify logo in the title text.
Only the SciELO server supports these author requests. The development of a similar solution is in progress on bioRxiv.
Discussion (Chat) channels are now collapsable maximising the use of page real estate and minimising clutter, particularly on pages like the Control panel.
An indicator and count makes it easier to identify discussions containing new or unread posts.
Task description field has been added to the Task builder and editor modals. A tooltip has also been added to the title for legibility, particularly for small screen sizes when the Discussion viewport is expanded.
User interface language translation is now possible through an implementation of i18next. The majority of the workflow-related user interface component language strings are now accessible for translation via the backend. Thanks to folks at Alexandrina for making this contribution.
We have used AI to automatically translate a selection of sample languages for demonstration purposes - as a user you can select your preferred language from the dropdown menu on the Profile page.

Reference parser has been updated! You can now use the ‘Reference’ annotation tool in the Production editor to parse citations via Crossref.
Group Managers can select single/multiple references in a reference list and click on ‘Reference’ to run the AnyStyle and Crossref parser. Once the results are loaded, you’ll be able to click on a reference to select and/or edit as required. Clicking ‘Apply’ inserts the updated citation into the Reference list.
Configuration>Production offers controls to select the citation style, number of results and language locale. To note that an ordered list cannot be applied to parsed citations.
@mentions are now supported in Discussion channels. Users are subscribed to a channel based on role or participation. Type ‘@’ into the editor to get a list of 5 subscribed users. Continue typing to search for other subscribed users. Select a username and on the 'Send action an email notification will be sent to the @mentioned user.
Use the Configuration control to assign the ‘@mention notification’ email notification template.
Updates have also been made to the scheduler that sends email notifications for new messages posted to a Discussion channel;
- Only subscribed users will receive notifications.
- The scheduler checks to see if there have been any new posts made every 30mins. If a new message is present a ‘Discussion notification’ is sent. Once this initial email has been sent a subsequent email will be sent the next day.
Users can now edit and/or delete their own Discussion messages. Hover over a message to see the ellipses menu and the actions to ‘Edit’ or ‘Delete’ a post.
Admin users are able to delete any message.
Users are also now able to pause (mute) email notifications sent per Discussion channel.

Multitenancy is now supported! The database has been refactored to support multiple separate groups on a single instance of Kotahi.
- Frontpage allows new/existing users to access the login page for each Group e.g. https://yourserver.co/
- Login page allows new/existing users to log in to a specific Group e.g. https://https://kotahi.yourserver.co/groupx/login
- Publishing page (Homepage) has been built using Flax, displaying manuscript content or form data published to the web per Group e.g. https://yourserver.co/groupx
New Groups can be created using the .env
file - see CHANGES.md for more detail on how to add/remove groups. A frontend Configuration Manager has already been implemented to customise workflow settings as required.
The Admin
role has been modified to access all Groups on a single instance. The role has also been enhanced to serve an overarching system administration function;
- The Admin will see all users (global) when accessing the User page.
- The Admin will be able to assign other Admin and/or Group Managers roles per Group.
A new Group Manager
role has been created** to serve as the administrator, curator, and journal manager per Group.
- Group Managers will see all users in their Group.
- Group Managers will be able to assign other Group Managers in their Group only.
A Content Management System allows Group Managers to create/edit and publish webpages in Flax (static website builder) from Settings>CMS. Use the CMS>Pages to create/edit webpages linked from the Header/footer. Use the CMS>Layout features to organise webpages and add brand partners/affiliations.
Utilise the aperture

instance archetype to publish and display manuscript content, metadata, reviews and/or decision/summaries in Flax. Publishing controls reside within the form builder from field settings.

An ’Submit new version’ action has been added to the Configuration Manager. When enabled, authors are able to submit a new version without requiring an editor submitted a decision verdict (accept, revise or reject).
ThreadedDiscussion form field engagement history is now displayed across versions.

A Peer review workflow dashboard has also been added to the Control panel to give editors oversight of reviewers at each phase of a peer review cycle per version. Click on user cards to see the Review status, review feedback, ‘shared review’ controls and more.
The Control panel has been further segregated into the Team, Decision, Manuscripts text, Metadata and Tasks & Notifications pages to improve usability. The ‘Team’ page replaces the ‘Workflow’ page and includes the new ‘Reviewer status’ Dashboard. The ‘Decision’ page displays all completed reviews, Decision form and Publishing action.
The author, reviewer and editor Dashboard views have also been separated out to improve usability. Easily use pagination, filters and keyword search to display a list of manuscripts as required.
A frontend Configuration Manager; is now accessible via the Menu>Settings>Configuration page. All instance configuration variables will be accessible per workflow from the Configuration Manager. The .env
file will only be used where necessary moving forward. Here’s an overview of core workflows (instance archetypes) currently in use.
You are only able to edit variables with respect to the workflow type you have chosen (instance archetype). You are not able to switch between workflow types (instance archetypes). In the future, you will be able to select and modify workflows and variables per group. More on this in our next major release which will support multitenancy, where there will be support for multiple separate groups on a single instance of Kotahi.
Bug fixes;
- A fix for a JATS generation error.
- Improved error handling when publishing fails on the
elife
instance archetype. Error messages are now displayed in a pop-up on the Manuscripts page. - Fix that automatically navigates users to any incomplete required fields after clicking on the submit action.

Task Manager notifications; can now be scheduled and reminder email notifications sent from all tasks added from the Menu>Tasks and the Control panel>Tasks & Notifications page.
As an Admin, you can create a task and select an email notification reminder to be scheduled when a task is added to a Task template.
As an editor, you can add an assignee to an existing task and click ‘Start’ when you’re ready. Editors can also create new tasks, schedule reminder notifications or send an action email notification immediately (e.g. Reviewer invitation) from the Task & Notifications page.
Clicking on ‘Start’ applies the ‘Duration’ count selected in the Task builder, and sets the ‘Due date’. Email notifications will be sent ‘x’ days ‘before’/‘after’ a ‘Due date’ is met. Marking a task as ‘Complete’ suppresses email notifications from being sent.
Setting a task ‘Duration’ to ‘None’ implies that the task is to be actioned immediately. ‘Due dates’ cannot be applied to action tasks, only to scheduled tasks where a ‘Duration’ value of 0 (zero) and upwards is selected.

You will be able to run a single entry or a list of citations through the Automated parser. When applying the parser to a list of references note that citations will be tagged however, AnyStyle does know how to apply list styling thereafter - so you’ll need to apply bulleted/numbered or another list styling manually.
Bug fixes;
- Fix for importing a manuscript containing MathML equations; the centre-aligned equations (

) are not rendered. This was due to malformed HTML coming from XSweet. By replacing<h4><h4>
and</h4></h4>
with<p>
and</p>
respectively the parsing works as expected. - Email notifications are being sent again from the
colab
archetype. The system now fetches authors where team members have accepted status.
